Job Description
KEY RESPONSIBILITIES:
Administrative support and Document management
- Provide administrative support to the Quality Department, including updating daily staff positions, scheduling meetings, managing calendars, and coordinating departmental communications.
- Assist in the preparation of quality reports, presentations, and documents.
- Handle incoming and outgoing correspondence related to quality matters.
- Maintain and organise quality-related documents, including policies, Integrated system processes (ISPs), Safe Operating Procedures (SOPs), audit reports, corrective actions and MoCs in the INBISCO HSEQ online platform.
- Ensure proper document control, including version control, distribution, and archiving of IMS documentation in the INBISCO system and company’s shared folder.
- Assist with the preparation and updating of RASCI processes and digitising forms in the INBISCO systems wherever practical.
- Update training materials and maintain current database to ensure all licensed users to the INBSICO system are trained.

Data entry and Analysis
- Accurately enter quality data into spreadsheets, databases, and INBISCO system.
- Compile data for quality metrics, KPIs, and other reports as needed by the Quality Department for weekly and monthly meetings and in accordance with the HSEQ Balanced scorecard.
- Support data analysis activities to identify trends, non-conformities, and areas for improvement including but not limited to customer feedback process within RAK Ports.
IMS audits and Process improvements
- Assist in the coordination of internal and external IMS audits, including scheduling, preparing documentation, and tracking corrective actions and improvements.
- Support the Quality team for conducting audits in accordance with ISO standards and monitoring compliance with applicable legal and statutory requirements.
- Identify opportunities for process improvement within the Quality Department and assist in implementing changes.
- Support quality initiatives and projects aimed at enhancing operational efficiency and service quality.
- Support the Quality department in fulfilling the administrative and clerical tasks on a day-to-day basis.
- Support the Quality team in updating and maintaining the INBICO system.
